Is there a cost for the integration?

You’ll need an RQ Professional plan and an active HubSpot subscription. Once both are in place, you can connect the systems in a few minutes.

What information syncs from RQ into HubSpot?

When you log a referral in RQ, the following is pushed into HubSpot

  • Client details

  • Service referred

  • Notes captured at referral

  • A new lead (if no matching HubSpot client exists)

  • If the client already exists in HubSpot

  • RQ links the referral to that record

What information syncs from HubSpot back into RQ?

RQ pulls:

  • Lead status updates

  • Client lifecycle changes

  • Fees generated (if enabled)

  • These updates appear automatically in the referral case in RQ.

How often does syncing occur?

Syncing is automated and frequent. RQ checks HubSpot regularly for status or fee changes, so referral records stay current without manual refresh. It’s near-real-time. Updates usually appear in RQ shortly after they change in HubSpot.

Do I need to trigger a sync manually?

No. Both directions sync automatically once the integration is live.

Can syncing get out of alignment?

It’s rare, but if a record cannot sync (missing fields, permission issues, deleted client), RQ will flag the sync error so it can be corrected.

Can we see a history of sync events?

Yes. RQ logs sync events so admins can see what was sent, received, and when.

Do notes or documents sync between systems?

Referral notes added at creation sync to HubSpot, but general ongoing notes do not sync both ways. Documents stay in RQ or HubSpot depending on where they were uploaded. (You can customise this if your workflow needs it.)

How does RQ decide whether to create or update a client in HubSpot?

RQ checks for a matching HubSpot client using the client’s email:

  • Match found: the referral links to that record.

  • No match: RQ creates a new HubSpot lead.

What happens if the client’s email changes in HubSpot?

RQ continues syncing based on the linked record ID, so updates remain accurate even if the email is updated later.

Does RQ overwrite any data in HubSpot?

No. RQ only writes new referral information or creates leads. It doesn’t replace or modify existing HubSpot advice data, plans, or documents.

Does HubSpot overwrite any data in RQ?

Only the fields RQ is designed to sync: status, lifecycle stage, and fee values. RQ never allows external systems to overwrite compliance data (such as consent or disclosures).

Is the integration secure?

Yes. All data is encrypted, and RQ is designed for regulated firms handling sensitive client information.

Yes. RQ captures client consent, disclosure logs, referral details, timestamps, user actions, approval steps, and audit trails. It providers and a full audit trail for your introducers.
